Payroll looks like arithmetic, and the arithmetic is simple. What makes it slow and error-prone is collecting what goes into it: who was present, who was late, who took leave, who worked overtime, who took an advance. In most businesses those arrive from a register, a biometric device and a few WhatsApp messages, and one person assembles them in a spreadsheet at the end of the month.

Payroll is the last step of a chain

  1. Attendance is recorded for each day.
  2. Leave is requested, approved and deducted from a balance.
  3. Overtime and late arrivals are worked out from the attendance record.
  4. Advances, loan instalments and other deductions are applied.
  5. Tax and statutory contributions are calculated.
  6. Net salary is produced, with a payslip for the employee and a file for the bank.

Software that only does the last two steps is a calculator. The saving is in the first four, because that is where the hours go and where the mistakes enter.

Attendance is where most errors start

  • Biometric devices — the system should read the device's records itself, not wait for someone to export and paste them.
  • Shifts and rosters — a night shift that ends the next morning must count as one day's work.
  • Rules written down — how many minutes late counts as late, and what a half day is. The system applies the same rule to everyone.
  • Field and site staff — check-in from a phone with location, for people who never pass the office device.
  • Corrections with approval — a missed punch is fixed by a request a manager approves, and the change is recorded.

What payroll in Pakistan adds

  • Income tax on salary — deducted by the employer each month and deposited with FBR. The slabs change with the federal budget, so they must be a table an administrator can update.
  • EOBI contributions — for establishments registered with the Employees' Old-Age Benefits Institution.
  • Provincial social security — contributions to the provincial institution where the business is registered.
  • Provident fund or gratuity — where the company offers them, with the balance tracked per employee.
  • Advances and loans — recovered in instalments, with the outstanding balance visible to both sides.
  • Final settlement — unpaid salary, leave encashment and recoveries worked out together when someone leaves.

Who can see salaries

Salary is the most sensitive data a business holds, and a shared spreadsheet is the usual way it leaks. In a system, a department head can approve leave and overtime without seeing pay, HR can run payroll, and only named people can open the salary register. A separate tool or part of the ERP

Both are reasonable. A separate payroll tool is quicker to start and keeps salaries away from the rest of the business. Payroll inside an ERP removes re-entry: salary cost posts to the accounts by department, and labour cost can be set against production or projects. How to test payroll software before going live

  1. Write the rules down

    Late arrival, half day, overtime rate, leave entitlement and how advances are recovered. If a rule cannot be written down, it cannot be automated.

  2. Load the employee master

    Joining date, salary structure, bank details and opening balances for leave, loans and advances.

  3. Run a past month in parallel

    Feed in last month's attendance and compare every net salary with what was actually paid.

  4. Explain every difference

    Each one is a rule that was applied by hand and never written down, or a mistake in the old sheet. Both are worth finding.

  5. Go live at the start of a month

    Keep the old sheet for one more cycle as a check, then stop.
