Custom ERP Development for US Companies: What It Involves and How Offshore Teams Deliver It

What a custom ERP for a US business has to handle, from QuickBooks or NetSuite as the ledger to multi-state sales tax and state privacy laws, and how to work with an offshore development team without losing control.

Short answer

A custom ERP for a US company usually runs operations, such as orders, inventory, purchasing and customers, while QuickBooks, Xero or NetSuite stays the accounting ledger. It calculates sales tax through a service such as Avalara or TaxJar because rates vary by state and locality, and it follows state privacy laws such as California's CCPA. Offshore teams can build it well if scope, ownership and communication are agreed in writing.

Key takeaways

  • Keep your accounting package as the ledger and build the ERP around it, not instead of it.
  • Never hard-code sales tax rates; use a tax calculation service.
  • Compare custom and per-seat software over three years, not one month.
  • With an offshore team, insist on a written scope, stage-by-stage delivery, and code in a repository you own.
  • Time-zone difference can work in your favour: calls in your morning, progress overnight.

US companies usually start looking at custom ERP for one of two reasons. Either the per-seat price of a packaged system has become one of the largest lines in the software budget, or the way the business works does not fit the product and the team has rebuilt the missing parts in spreadsheets. Both are good reasons to consider building. Neither is a reason to replace the accounting system your CPA already works with.

The boundary matters more than any feature. How to integrate accounting software with an ERP explains how to draw it so the two systems never disagree.

Sales tax across states

There is no federal VAT in the United States. Sales tax is set by each state, and many counties and cities add their own rates. Since the Supreme Court's 2018 decision in South Dakota v. Wayfair, states can require out-of-state sellers to collect sales tax once their sales into that state pass a threshold. For an ERP, that means rates must never be typed into the system. Each order should get its tax from a calculation service at the moment it is created, and exemption certificates for wholesale customers should be stored and applied automatically. Your tax adviser decides where you are registered; the system makes sure the right tax is charged there.

Privacy and data

There is no single federal privacy law for most businesses. State laws apply, with California's CCPA, as amended by the CPRA, the best known, and sector rules such as HIPAA where health data is involved. For most ERP projects this means collecting only the customer data you need, controlling who can see it, logging access, and being able to find and delete a person's data on request. If you handle health or financial data, those requirements belong in the scope from the first conversation.

Custom ERP or per-seat software?

A packaged ERP costs less to start and carries a monthly fee per user for as long as you use it. A custom system costs more upfront and has no per-user fee, only hosting and support. Over one year the packaged product is almost always cheaper. Over three to five years, for a growing team with a process the product does not fit, the comparison often turns. Run the numbers for your own headcount rather than relying on anyone's rule of thumb. Custom ERP versus off-the-shelf and Odoo versus a custom ERP set out the comparison.

Working with an offshore team

Many US companies have their ERP built by teams abroad. It works well when the arrangement is clear and badly when it is not. What protects you is the same as with a local developer, written down more carefully.

Working with an offshore ERP team

  1. A written scope and fixed price per stage

Each module is quoted against a document you approve, so cost and content are agreed before work starts.

  2. Code and accounts in your name

The source code lives in a repository your company owns, and hosting is in your cloud account, from the first day.

  3. A named contact and a fixed call rhythm

One person who knows your project, and a regular call at a time that suits your morning.

  4. Working software you can open

Progress is shown on a live staging link, not described in reports.

  5. Contract terms that travel

Agree intellectual property assignment, confidentiality and governing law in writing before work begins.

Time difference can help. Pakistan is nine to ten hours ahead of US Eastern time, so a call at the start of your day hands over questions, and the answers are built while you sleep. The cost is that urgent issues during your afternoon wait for the next overlap unless a support agreement covers them, so agree response times for production problems in advance.

How a project usually runs

Discovery maps your process and produces the scope. The first module, usually orders and inventory, goes live with real transactions and the accounting integration. Purchasing, production or job costing follow, then reporting on data that is by then trusted. Each stage is used before the next is built. The ERP implementation roadmap sets out the order in more detail, and ERP versus CRM helps if you are unsure which system to start with.

A2Z Global builds custom ERP systems for US businesses from our office in Karachi, integrated with QuickBooks, Xero or NetSuite and with sales tax handled through a calculation service. We say plainly that we are an offshore team; it is also why our prices are what they are. See ERP and CRM development for the USA, or send us your requirements for a fixed written quote for the first stage.

Frequently asked questions

Will a custom ERP replace QuickBooks?

Usually not. It handles operations such as orders, inventory and purchasing, and sends clean transactions to QuickBooks, which stays the ledger your accountant files from.

How does a custom ERP handle sales tax in different states?

Through a sales tax calculation service such as Avalara or TaxJar, called when each order and invoice is created, rather than rates stored in the system. Where you must collect tax is a question for your tax adviser.

Is it safe to have an ERP built offshore?

It can be, if the scope is written, the source code and hosting are in your company's name from day one, intellectual property and confidentiality are covered in the contract, and you see working software at each stage.

How long does a custom ERP take to build?

A first module is usually in daily use within a few months. A full system is delivered in stages over a longer period, so the business benefits from the first module while the rest is built.
